As the Executive Assistant to the CEO, you will play a pivotal role in managing the CEO’s daily operations, communications, and strategic initiatives. This position requires a high level of professionalism, discretion, and attention to detail. You will be responsible for calendar management, meeting coordination, travel arrangements, and acting as a liaison between the CEO and internal/external stakeholders. The ideal candidate is a resourceful problem solver with exceptional communication and organizational skills.
What you will do:
- Manage and optimize the CEO’s calendar, ensuring efficient scheduling and prioritization of meetings.
- Coordinate and manage the CEO’s daily calendar, scheduling appointments, meetings, and events efficiently to optimize their time.
- Screen and manage incoming emails, correspondences, and calls, prioritizing and responding on behalf of the CEO when appropriate.
- Prepare executive-level reports, presentations, and briefing materials for meetings.
- Prepare meeting materials, agendas, and presentations, ensuring the CEO is well-prepared for all engagements.
- Organize and take minutes for key meetings, tracking action items and follow-ups.
- Attend meetings, take accurate minutes, and follow up on action items to ensure timely completion.
- Assist in managing special projects and strategic initiatives, ensuring timely execution.
- Handle confidential information with discretion and professionalism.
- Oversee email and correspondence management, drafting responses and filtering priorities.
- Coordinate domestic and international travel arrangements, including scheduling, airline tickets, lodging, and building helpful itineraries.
- Maintain, organize, and digitize files.
- Safeguard the confidentiality of personal and sensitive information.
- Provide support for additional tasks that enhance the CEO’s personal effectiveness.
- Assist the CEO in personal tasks and responsibilities as needed.
- Ad hoc projects as assigned.
What you will need:

- 5+ years of experience as an Executive Assistant, preferably in a startup, DTC, e-commerce, or CPG environment.
- Strong organizational and time-management skills, with the ability to multitask in a fast-paced environment.
- Proficiency in Google Suite, Microsoft Office, Slack, and project management tools.
- Ability to handle sensitive information with a high degree of confidentiality.
- Problem-solving mindset with the ability to anticipate needs and act proactively.
- Exceptional attention to detail and ability to work independently.
- Strong interpersonal skills with the ability to build relationships across all levels.
- Experience with C-level executive calendar management
- Excellent relationship-building, and communication skills
- Conflict resolution and problem-solving skills
- Must be able to effectively communicate in English, both verbally and written.
- Possess basic mathematical skills: addition, subtraction, multiplication and division
- 10% Travel required to events, venues, and various locations as required
